Job Description
1. Administrative Support to Operations Team
Coordinate team meetings amp; events
Consolidate travel and leave schedules of VP, RDs, OPS team
Support the Operations VP amp; Director in the logistic arrangement for business meetings amp; visits including travels/transportation, meetings, etc.
Translate document and messages to Chinese/English
2. Operations Support
Consolidate the integrated calendar of Campaigns and store activities.
Liaise with other departments to ensure the implementation is on time amp; collaborated.
Identify any issues and support the solution for the campaign/project execution e.g. conflicting activities, resources, late deliveries, etc.
Collect amp; improve Memos contents, improve the method amp; channel of communication, for easy understanding and execution by stores
Host weekly communication meetings and handle questions from Regional teams amp; stores regarding daily operations, campaigns amp; Headoffice instructions
Develop the weekly Newsletter– plan, collect amp; edit contents
Coordinate with vendors for the specifications, quotation amp; production of uniform and store supplies
Have full understanding of the standard store operation amp; transaction processes as well as POS system. Assist HQ and local teams to understand the standard processes.
Assist in improving store processes in order to achieve higher execution efficiency and customer satisfaction
Be the key contact point for the stores, ROMs amp; regional OPS staff for all communication with HO OPS team and other departments
3. Analysis amp; Reporting
Collect and consolidate feedback from regions for campaigns, business performances, programs, etc.
Analyse and develop reports
Support the tracking of Gamp;A expense and coordinate adjustments
Support in the calculation of incentives for RDs amp; ROMs, events.
4. Business Development
Support in the preparation for store opening / closure with the focus on store operations
Update store list, opening/closure dates in Operations reports
Requirements:
1、Formal qualifications/certification required
? University Degree (Business preferred)
2、Years of experience required:
? Must have min 2 years Store operations experience
? 1-2 years business analysis and coordination experience
3、Knowledge Skills required:
? Experience supporting retail operations
? Quick response and good skills in managing daily operation demands
? Strong skills of analytical and problem solving
? Language requirements : Strong skills in the written and verbal communication - both Chinese and English
? Advanced knowledge of the computer applications, Word, Excel, Outlook.
? Ability to write reports, advices, business correspondence, comprehensive policy, and procedure manuals.
